GENERAL PURPOSE:    11/17/2016

Performs a variety of routine clerical and accounting work in keeping official records providing support for the Library administration.

 

SUPERVISION RECEIVED AND EXERCISED:

Receives direct supervision from the Director of Library Services.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Answer and route in-coming calls or provides information to callers, as required.

 

Receive visitors and answer questions; respond to inquiries from employees, citizens and others, referring them to other staff members as appropriate.

 

Sort newly-arrived collection materials by location before items are sent for cataloging and processing.

 

Act as a back-up to the Library Clerk assigned to handle overdue notices and issues.

 

Input data to standard office and department forms; makes simple posting to various reports such as annual reports.

 

Research answers to questions using the online library catalog, TexShare databases, materials in the library collection and other sources.

 

Plan and publicize library programs for targeted groups of library patrons and community residents.

 

Act as custodian of all accounting-related documents, files, indexes and records maintained by the Library Services Division.

 

Ability to perform related duties and responsibilities as required.

 

Regular and timely attendance is an essential job function.

 

PERIPHERAL DUTIES:

Provide clerical support to other finance staff as required.

 

Compose, type, and edit a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness.

 

May be asked to work nights and weekends.

 

Other Duties as assigned.

 

DESIRED MINIMUM QUALIFICATIONS:

Graduation from high school or equivalent; and,

Two (2) years experience as an accounting clerk, library circulation clerk, or administrative assistant.

 

SPECIAL REQUIREMENTS:

Must have valid Texas driver's license.

 

Must be able to work nights and weekends.

 

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of computers;

 

Knowledge of modern office practices and procedures;

 

Knowledge of accounting principles and practices;

 

Knowledge of library practices, procedures and information sources;

 

Skills to use modern office and audiovisual equipment including, but not limited to computer, scanner, digital projector, digital camera, typewriter, copier, and calculator;

 

Ability to effectively meet and deal with the public;

 

Ability to communicate effectively verbally and in writing;

 

Ability to handle stressful situations;

 

Ability to understand and follow instructions.

 

SELECTION GUIDELINES:

Formal application, rating of education and experience, oral interview and reference checks, and job related tests may be required.

 

TOOLS AND EQUIPMENT USED:

Telephone; personal computer, including word processing and spreadsheet software; copy machine; fax machine; and ten-key calculator.
